Everything you need to plan your coverage of the Global Transformation Forum 2026 — December 1–2, Tokyo.

Welcome to the Media

The Global Transformation Forum 2026 Team is pleased to welcome members of the media to the Forum, which will take place on December 1 and 2 in Tokyo, Japan. This Media Kit provides the information to help with planning your coverage of the event, including accreditation, badge collection, media workspace, filming and photography arrangements, interview requests and recommended accommodation.

Should you require any further information or assistance, please do not hesitate to contact the GTF Media Team at media@gtf.jp.

Accreditation Process and Required Documentation

Members of the media should complete the media accreditation form to register their details. If you have not yet received this form, please let our media team know and they will send it to you, or you can fill it in online via the designated application form on the GTF website. Every application to attend will be carefully reviewed by the GTF Team, and we will do our best to accommodate all eligible requests.

Information and Documentation

To complete the accreditation process, applicants are kindly requested to provide the following information through the accreditation form:

  • full name, professional role and email address;
  • the name of the media outlet represented, together with relevant contact details;
  • whether the applicant intends to bring camera equipment to the Forum;
  • details of any additional attendees who will be accompanying the applicant such as cameraperson/photographer.

This information allows the GTF Team to register each member of a media delegation and to prepare the appropriate facilities in advance. Additional attendees will be required to hold their own accreditation, and their details should therefore be included in the same application.

Where necessary, the GTF Team may also request proof of professional media affiliation or assignment, such as an editorial assignment letter or a valid press card. Applicants will be contacted directly should any further documentation be required.

Badge Pickup

Accredited journalists can collect their printed media badge and lanyard at the Forum venue on December 1 and 2. A dedicated media pickup point will be staffed by a member of the GTF media Team, who will verify your accreditation and hand over your badge. Please bring your passport/ID as we will need it to confirm your identity.

Details of the exact location and opening hours of the pickup point will be sent to all accredited journalists before the Forum. Badges are personal and non-transferable, and should be worn visibly throughout the event.

Media Workspace

A dedicated workspace will be available to accredited media representatives for the duration of the Forum, for the purposes of writing, editing and filing their reports between sessions. The workspace will be located in Room E (Interview Room) and Room D (Media Room). It is equipped with desks and power outlets for laptops and mobile devices, and complimentary Wi-Fi is provided. Drinks and light refreshments will be available throughout the day.

Access to the workspace is restricted to holders of an accredited media badge. Users are kindly requested to keep noise to a minimum out of consideration for their colleagues. The workspace is suitable for short interviews; however, representatives planning a livestream or broadcast set-up are requested to notify the GTF Team in advance so that the necessary arrangements can be made.

A booking link will be provided to reserve the interview room. It will also be available subject to availability for any adhoc requests on the day.

On the Record and Closed-Door Sessions

The Forum's main programme is on the record and may be photographed, filmed and documented for communications and media purposes. This includes keynotes, panel discussions, fireside chats and the other sessions that make up the public programme.

Closed-door sessions operate under separate confidentiality arrangements. Photography, video and audio recording, and other forms of documentation are not permitted unless GTF has expressly authorised them. We ask all participants to respect the confidential nature of these discussions and not to record or share statements or materials from them without prior authorisation. If you are unsure about the status of a session, please check with the GTF Media Team before reporting on it.

Speakers participating in closed-door sessions may be interviewed separately, subject to their availability and consent, in accordance with the procedure set out in Section 6. Any such interview should be conducted outside the session itself and should not disclose statements or materials shared in confidence during the closed-door discussion.

Photography and Filming Rules

  • Photography and filming are permitted in all on-the-record sessions and public areas, provided they do not disrupt speakers, moderators or other attendees.
  • Recording of any kind is not permitted in closed-door sessions without prior written authorisation from GTF (see Section 4).
  • Photographers and camera crews are requested to use the designated media positions where these are available. The use of flash photography, tripods and lighting equipment may be restricted in certain venues, and any such restrictions will be communicated on site.
  • Drones are not permitted on the premises.
  • Attendees' privacy must be respected. Individuals who request not to be photographed or filmed must not be.
  • Official Forum photographs and visual materials will be available to accredited media. For more detailed information, please contact the GTF Media Team at media@gtf.jp.
  • Please also refer to the official GTF Logo Usage Guidelines, available on the GTF website, for instructions on the appropriate use of the GTF's logo and visual identity.

Editorial use and attribution

  • Media representatives may use their own photographs, footage and recordings of on-the-record sessions for editorial and news reporting purposes.
  • Statements by speakers and moderators must be reported accurately and in context. Footage, quotations and images must not be edited, presented or combined in a way that misrepresents or materially alters the substance or meaning of what was said.
  • Speakers' names, images and quotations may not be used to imply their endorsement of any product, service, sponsor or third party.
  • Speakers retain ownership of their presentations and underlying intellectual content. Reproduction of presentation slides or other session materials requires the prior permission of GTF.

Commercial use

Any commercial use of Forum footage, photographs or recordings, including paid advertising, sponsored content and licensing or distribution to third parties, requires the prior written approval of GTF. Where such use involves a specific speaker, GTF will seek that speaker's separate permission before approval is granted.

GTF reserves the right to restrict access to the Forum for media representatives who do not comply with these rules.

Interview Availability and Spokesperson Requests

Ahead of the Forum, the GTF Team will send all accredited journalists a list of speakers who have agreed to be available for media interviews. Full speaker biographies are available on the Forum website.

To submit an interview request, please contact the GTF Media Team at media@gtf.jp. Requests should include the name of the journalist and the media outlet, the name of the requested speaker, the topic and format of the interview, the intended date of publication, and the preferred time. We recommend submitting requests at least 15 working days prior to the Forum. All interviews are subject to the availability and consent of the individual speakers. Each interview is expected to last approximately 30 minutes. Where an interview or press feature involves a specific individual, GTF will obtain that person's approval before it is arranged or published.

GTF media team will do its best to facilitate all requests but is unable to guarantee that every request will be accommodated.

GTF may hold the copyright of recordings of Forum sessions, while speakers retain ownership of their presentations and intellectual content. If you wish to reproduce session materials, please ask the GTF Media Team for permission first.

May I attend only one day of the Forum?

May I bring a colleague, such as a cameraperson or producer?

When will I receive confirmation of my accreditation?

Applicants will be notified of the decision by November 20, 2026 by email. The confirmation will contain further details about badge collection and the media workspace.

Yes. The Forum programme is available on the GTF website. Accredited journalists will also receive a list of speakers who have agreed to be available for media interviews ahead of the event (see Section 6).

In which language will the sessions be conducted?

The Forum programme is conducted in English, with Japanese interpretation available during the sessions.

Where can I find assistance during the Forum?

Yes. The Forum's main programme is livestreamed, and the recordings are published on the GTF YouTube channel. Closed-door sessions are not recorded or livestreamed.

May I share my own photographs and footage on social media?

Photographs and footage taken in on-the-record sessions may be shared for editorial and news reporting purposes, in accordance with the rules set out in Section 5. Content from closed-door sessions may not be recorded or shared without the prior authorisation of GTF.

Whom should I contact regarding images, recordings or press materials?

Please contact the GTF Media Team at media@gtf.jp.

Do I need a visa to travel to Japan?

Entry requirements depend on nationality and the purpose of travel. Media representatives are advised to consult the Embassy or Consulate of Japan in their country of residence well in advance of the Forum. Accreditation confirmation does not replace a visa or any other travel document.
